Accidents

All accidents should be reported to your insurance company and if appropriate your employer’s fleet administrator. The costs of any associated repairs are the responsibility of your own insurance/employer’s insurer.

Any vehicle recovery or repairs resulting from an accident are not covered by the maintenance package. These are normally covered by your insurance and should be carried out in accordance with your own or employer’s insurance policy and procedures by an insurance approved repairer.

Please note, as per the terms of your contract you / your employer’s fleet administrator is required to immediately advise Fleet Evolution of any damage sustained to your vehicle however caused.

If you are driving a rental vehicle provided by one of our partners, please refer to the breakdown/roadside assistance details, which are usually included in your copy of the rental agreement.

Breakdown & Roadside Recovery

Roadside assistance is initially provided by the manufacturer, however, the duration of your vehicle manufacturer’s roadside assistance varies, therefore please always check your vehicle’s handbook for the cover provided and the period of cover for your specific vehicle. If your vehicle manufacturer’s roadside assistance scheme expires during the term of your contract, provided your contract includes roadside assistance resulting from a mechanical failure, roadside assistance will continue to be provided by our roadside assistance partner. You will receive details of the cover provided together with their contact details once your vehicle is outside of its manufacturer’s roadside assistance warranty period.

If you are driving a rental vehicle provided by one of our partners, please refer to the Breakdown/Roadside Assistance details which are normally located on your copy of the rental agreement.

Vehicles outside of the manufacturer’s recovery warranty

If you are unsure whether your vehicle is covered under the manufacturer’s recovery scheme or whether your contract includes roadside recovery, please contact us on 0300 302 0540 during normal office hours. We will check the level of entitlement and utilise an applicable service at the time of the breakdown.

Please note, roadside assistance resulting from an accident is not covered by our roadside recovery package, Please refer to the Accidents section of this Driver Guide.

Temporary Replacement Vehicles

PLEASE NOTE THE FOLLOWING SERVICE ONLY APPLIES TO, “RELIEF VEHICLE” CONTRACT AGREEMENTS.

All salary sacrifice vehicles where Fleet Evolution provides insurance come with our mobility guarantee, meaning if your vehicle is off the road for any reason apart from driver abuse, we will ensure you have a replacement vehicle.

Fleet Evolution will arrange for the replacement vehicle to be delivered after checking the nature and extent of the repairs required.

Please ensure that you have your driving license with you at the time the replacement vehicle is delivered. You or your employer will be required to organise fully comprehensive insurance cover for the temporary vehicle.

Please ensure you notify Fleet Evolution immediately when your own vehicle is returned back to you. This will enable us to terminate the replacement vehicle promptly as any delay may result in your employer incurring unnecessary rental charges.

Driver Maintenance

In addition to your vehicle’s routine servicing it is important that you carry out regular preventative driver maintenance.

This promotes the performance and reliability of your vehicle and helps avoid inconvenient and costly repairs arising.

Water, Oil, Ad-Blue & Fluid Levels

Check and top up as necessary, engine oil, coolant system, Ad-Blue screen washer bottle, brake, clutch, power steering and automatic transmission (if applicable) fluid levels.

If you are unsure how to complete these checks, please refer to the manufacturer’s handbook provided with the vehicle.

Tyres

Check tyre pressures, including the spare (if fitted) and adjust pressures as necessary. Regularly check each of your vehicle’s tyres are legal, undamaged and wear is even across the full width of the tyre tread. Remove any foreign objects lodged between the treads.

Driver Responsibility

Parking / Toll Fines & Penalty Notices

All Parking / Toll Fines and Fixed Penalty Notices must be paid within the time allowed by the issuing authority. This prevents any unnecessary administration, charges, and possible prosecution. Where a Fine or Penalty is disputed you must advise Fleet Evolution in writing immediately.

As the registered keepers of the vehicle, Fleet Evolution will receive any notifications and/or reminders for unpaid fines and fixed penalty notices. Where possible Fleet Evolution will make representation to the issuing authority on behalf of our customer, however, there will be an administration charge for this service. If the issuing authority will not allow representation, for example, Transport for London, Fleet Evolution will pay the fine on the customer’s behalf and recharge it with an administration charge.

If you have paid the fine after notification has been received by us and the issuing authority returns our payment, we will credit the fine amount. Please note the cost of administration will not be credited.

IT IS IN YOUR OWN INTEREST TO PROMPTLY PAY ANY FINES INCURRED

Accessories

Accessories may be fitted after delivery providing your HR team approve this and these are removed prior to contract end.

Where practical, accessories fitted by you may be removed at the end of the contract with the provision that the vehicle is returned in its original condition with no fitment marks.

End of Contract

The vehicle should be in a clean and reasonable condition so that the appraisal can be carried out effectively.

We acknowledge that at the end of the contract term the vehicle will not necessarily be in showroom condition. In order to minimise any possible refurbishment costs when your vehicle is returned it is important to take care of your vehicle throughout the term of the contract. We expect that any significant damage should be repaired prior to the vehicles return. To ensure fairness and consistency, Fleet Evolution use the BVRLA Fair Wear & Tear policy guide (click here to be taken to the guide) as the benchmark for what we consider as acceptable. Fleet Evolution will recharge damage and refurbishment where the vehicle condition falls below this standard.

Fair Wear & Tear

When your vehicle is returned to Fleet Evolution we will inspect the vehicle and complete a vehicle condition appraisal.

We acknowledge that at the end of the contract term the vehicle will not necessarily be in showroom condition. In order to minimise any possible refurbishment costs when your vehicle is returned it is important to take care of your vehicle throughout the term of the contract. We expect that any significant damage should be repaired prior to the vehicle’s return. To ensure fairness and consistency, Fleet Evolution use the BVRLA Fair Wear & Tear policy guide (click here to be taken to the guide) as the benchmark for what we consider acceptable.

Vehicles within the manufacturer’s roadside assistance scheme

Fair wear and tear occur when normal usage causes deterioration to a vehicle and is not to be confused with damage.

To avoid unnecessary end-of-contract charges, we strongly recommend that you appraise the vehicle approximately 8 to 12 weeks prior to returning at the end of the contract. This will allow time for any damage to be rectified by an approved repairer prior to the return of the vehicle.

Maintenance & Routine Servicing

All of our salary sacrifice car schemes include servicing and repair contracts as standard.

For those customers with contracts, including maintenance, Fleet Evolution has a network of supplier partners set up to carry out all servicing and repairs.

Your vehicle should be serviced by an approved dealer in accordance with the service profile term and/or distance requirements stipulated within the vehicle manufacturer’s handbook supplied with your vehicle.

Fleet Evolution have partnerships with many service and repair providers throughout the UK set up to carry out all servicing and repairs. In most cases, our service includes collection/delivery and the return of your vehicle washed and clean.

To book a service call our Operations team on 0300 302 0540; please have the following information to hand.

  • Registration Number
  • Current Mileage
  • Make and Model
  • Any active warning lights
  • Any other issues (for warranty issues please email operations@fleetevolution.com in the first instance)
  • Collection location

Fleet Evolution will handle all payments and administration of the maintenance event with the supplier. The supplier will contact the Fleet Evolution Maintenance Control team direct to obtain the necessary authorisation.

MOTs

How can I check my vehicle is taxed?

How will the new rules be enforced?

Most on-road enforcement action is now based on ANPR (Automatic Number Plate Recognition) technology which is now widely used.

MOT Test

You or your employer’s fleet administrator will receive a reminder from Fleet Evolution at least one month in advance of the MOT due / expiry date.  Please ensure that the vehicle is submitted for MOT without delay as it is a legal requirement to have a current and valid MOT. For new vehicles the first MOT is due by the 3rd-anniversary date of the vehicle’s first registration date.

The MOT may be carried out at any ATS Euromaster or Kwik Fit approved test center.

You are required to present your vehicle for an MOT test a minimum of two weeks before the 3rd anniversary of the vehicle’s first registration date. Vehicles may be presented for MOT up to four weeks before the 3rd anniversary of the vehicle’s original registration date and/or the current MOT expiry date.

The original registration date of your vehicle can be found in the service book located as part of the manufacturer’s handbook pack (provided with the vehicle).

How can I check the MOT expiry date of my vehicle?

If you wish to verify the MOT expiry date of the vehicle you are driving – whether it is leased or owned – please either contact the Fleet Evolution Driverline team or alternatively check the “MOT expiry date” field on the digital record which can be accessed via the DVLA website.

How can I check the CO2 g/km output of my vehicle?

If you wish to verify the CO2 g/km output of the vehicle you are driving – whether it is leased or owned – please either contact the Fleet Evolution Driverline team or alternatively check the “COEmissions” field on the digital record which can be accessed via the DVLA website.

Travelling Outside the UK

To take your vehicle abroad, you must first obtain the authority from Fleet Evolution.

You must also obtain authority and an International Registration Certificate (Form VE103) from Fleet Evolution as this is a legal requirement; there is a charge for processing your application for a VE103B. We strongly advise that you notify us and request a VE103B certificate at least 4 weeks before your scheduled departure date.

To request a VE103B, please apply online by completing the Foreign Travel Request (VE103) form at the bottom of this page.

Once your application has been acknowledged by Fleet Evolution, the cost of the applicable fee will be confirmed, and Fleet Evolution will issue you an invoice for the application fee. Payment of the invoice should be made by BACS transfer using the bank details in the bottom left-hand corner of the invoice that will be issued to you. Once the fee has been received, Fleet Evolution will arrange for an International Registration Certificate (VE103B) together with a letter of authority confirming our authorisation for you to take the vehicle outside of the UK to be issued. This is a legal requirement as you are driving a leased vehicle. The VE103B and letter of authority will cover the dates and countries involved in the journey.

Travelling In France*?

Please be aware that France has introduced Low Emission Zones (LEZ) in some locations, if you intend to drive your vehicle within a designated LEZ zone then you will require a clean air sticker which must be applied for 6 weeks before your date of travel and displayed in the front windscreen of your vehicle before/upon entry to the applicable LEZ. This is part of a six-category sticker system now used in France that applies to all motor vehicles to identify the emissions produced by each vehicle.

If you require a sticker**, they are called Crit’Air Vignettes, please select the Tick option of the prompt “Travelling in France – Crit’Air Vignettes required” when you complete the Foreign Travel Request Form below***.

*A minimum lead time of 6 weeks in advance of your date of travel is required in order to request and provide you with the details you will require to complete the application and then wait for the sticker to arrive.

**Additional charges may apply which must be paid by you as part of the application.

***As part of your foreign travel application we will provide you with the applicable vehicle information/documentation in order for you to complete your Crit’Air Vignettes application

Insurance

Insurers advise that each customer contacts them directly to notify them that the vehicle is being driven overseas. If you are unsure who your insurance company is, please contact our Operations team on 0300 302 0540 and they will confirm the name of your insurance company and the correct number to call. The insurer will then offer further advice on your level of cover and confirm whether any additional cover is required to be purchased; additional insurance cover for overseas is not included in your salary sacrifice contract.

Dependent upon the countries to be visited or transited, you may be required to carry a Green Card for the vehicle you’re driving in the EU, including Ireland, Iceland, Liechtenstein, Norway, Switzerland, Serbia, or Andorra.

The Green Card may be requested from and provided by your insurer. You will be required to carry a hard copy of the Green Card with you whilst travelling abroad as proof of your vehicle insurance; electronic copies of the Green Card are not acceptable. You will need to show your Green Card if you are involved in an incident. You may need to show your Green Card at police checks at the border when entering the EU/EEA or moving between EU/EEA countries. This will depend on the border authorities of each country.

In all cases suitable repatriation insurance is required to be purchased by the customer to ensure that the vehicle returns to the UK in the event of a breakdown or accident rendering the vehicle non-drivable; you may be required to provide proof of suitable repatriation insurance cover in place before your VE103B application is processed.

Recovery/Roadside Assistance

If your vehicle is outside of the standard manufacturer’s roadside assistance period, then your alternative cover with Fleet Evolution and/or our partners included within your contract is UK specific. You will need to purchase additional European breakdown cover to ensure that you have roadside assistance in place for your trip.

If your vehicle is covered by manufacturers roadside assistance then we advise that you contact your vehicle manufacturers customer service team to clarify whether or not their complimentary roadside assistance covers you outside of the UK for the countries you are visiting and/or transiting through.

We encourage you to carefully follow the advice given to you by the manufacturer. If you are unsure of the status of your roadside assistance this can be clarified by Fleet Evolution at the point of your request for a VE103B application.

Breakdown & Repatriation to the UK

Please note that if your vehicle breaks down outside of the UK and is not covered by European roadside assistance, recovery and repatriation of the vehicle back to the UK may not be covered under your existing policy. To avoid any significant unforeseen costs, we strongly recommend you obtain additional European breakdown cover which includes full repatriation of the vehicle to the United Kingdom and onward travel options to get you and your passengers back to the United Kingdom in the event of a breakdown or accident overseas.
